Connecting your mailbox is a secure, one-time Microsoft sign-in. Facthory never sees or stores your password — you authorize access through Microsoft, and you can revoke it whenever you like.
You need the Outlook integration enabled on your plan. If you do not see it, ask your workspace admin.
Use the same Microsoft work account you use for Outlook.
Some organizations require an IT administrator to approve new apps once. If you hit an approval screen, share it with your admin.
Open Email Intelligence from the navigation.
Choose Connect Outlook.
You will be taken to Microsoft's secure sign-in.
Sign in with your Microsoft work account.
Review the access Facthory requests — reading your mail, preparing and (optionally) sending replies, and reading your calendar for meeting responses.
Approve to continue. You are returned to Facthory, now connected.
Facthory asks only for what each capability needs. Outlook and OneDrive are separate connections — approving one never grants the other.
Once connected, Facthory begins organizing your mailbox in the background:
Recent mail appears in your prioritized inbox within a short while.
New messages keep flowing in automatically on a regular schedule — you do not need to refresh or reconnect.
Reading or flagging a message in Outlook is reflected back in Facthory.
Your workspace can run in one of two modes:
Draft only (default). Facthory prepares replies and saves them to your Outlook Drafts. You open Outlook and send.
Send allowed. With owner/admin approval, Facthory can send approved replies on your behalf, as you.
Either way, a reply is only ever sent after a human has reviewed it.
Your mailbox is visible only to you. No teammate in your workspace can see your email.
Access is stored securely and used only to power the features you use.
Facthory sends only as the connected account — there is no separate mail relay.
You can disconnect at any time from Email Intelligence settings. Disconnecting stops syncing and removes Facthory's stored access to your mailbox. You can reconnect later with the same secure sign-in.
Stuck on an approval screen? Your organization may require admin consent — send the screen to your IT admin.
Wrong account? Sign out of Microsoft and reconnect with the correct work account.
Calendar responses look incomplete? Reconnect once so the calendar permission is included — existing connections keep working on email evidence until you do.
Search and ask your mailbox — start finding and asking right away.
Priorities, smart replies and your writing tone — set up your voice and stay on top of replies.
